Overview

Central Maine Healthcare is seeking a marketing and philanthropy operations specialist to join their public relations and communications team here in Lewiston, ME!

 

Position Summary:

The Marketing and Philanthropy Operations Specialist supports the execution of marketing and fundraising initiatives by coordinating logistics, managing databases, supporting internal and external communications, and ensuring timely and accurate delivery of materials and record keeping. This highly organized team player will work across departments to uphold the organization’s brand and mission while delivering outstanding operational support.

Responsibilities

 

 

Key Responsibilities

Marketing Operations

Manage marketing project timelines and coordinate deliverables across departments.

Assist with campaign planning, asset organization, and distribution.

Support logistics for digital, print, and in-person marketing campaigns.

Maintain media and content calendars, track deadlines, and manage approvals.

Coordinate with external vendors for branded materials, and design production.

Organize internal marketing resource libraries and ensure brand consistency.

 

Philanthropy Operations

Support the daily operations of philanthropy campaigns and donor engagement efforts.

Maintain donor records, reports, and tracking within Blackbaud or similar donor database system.

Assist in the production of donor acknowledgments, stewardship mailings, and gift processing, including the processing of checks pursuant to the CMH Finance Department guidelines.

Coordinate logistics for fundraising events, appeals, and communications.

Provide administrative support to the philanthropy team, including reporting, vendor coordination, and materials prep.

Assist with prospect research and list management for appeals and special campaigns.

 

Communications and Media

Place and manage print advertisements in newspapers and publications.

Proofread marketing and donor materials for accuracy, style, and tone.

Maintain accurate files for all placements, approvals, and vendor correspondence.

Ensure brand voice, grammar, and visual standards are upheld across all communications.

 

Qualifications

Qualifications

 

  • Associate or bachelor’s degree in marketing, communications, nonprofit management, or related field preferred.
  • 2+ years of experience in marketing, philanthropy, communications, or related administrative role.
  • Experience with donor database systems (Blackbaud preferred).
  • Strong organizational and time management skills.
  • Proficient in Microsoft Office; knowledge of design or project management tools a plus.
  • Collaborative, adaptable, and mission-driven mindset.
